About the job

SkeyDrone is looking for an experienced Office Manager. As Office Manager you are responsible for:

Administrative tasks
  • Ensuring the efficient day-to-day running of the office by using a range of software tools, including email, spreadsheets and databases
  • Performing administrative tasks in various domains:
    • Document management: management of corporate documents and documentation according to defined processes and procedures
    • Accounting: processing of invoices, preparing periodic financial reports
    • Procurement and contract management: general procurement tasks; management of office rental and office supplies contracts
    • HR management:
      • Staff planning & payroll management tasks
      • Company cars (fleet) administration
      • Travel arrangements
Processes & policies
  • Contributing to the implementation new corporate policies & processes
  • Contributing to the supervision of staff adherence with corporate policies (privacy, data protection, health, safety )
External communication
  • Processing incoming general correspondence (mail, phone, website)
  • Answering telephone calls and emails from external stakeholders, and directing them to relevant staff
Management support
  • Organizing staff meetings (Management Committee and all employees meetings), include agenda composition, invitations and taking minutes
  • Agenda management for Managing Director

 

About you

  • Minimum 3 years of experience in an office setting as office manager, office clerk, administrative assistant, secretary or similar role
  • Proficient with office software such as Microsoft Office 365
  • Strong written and verbal communication skills (Dutch, French and English)
  • Strong interpersonal skills to interact positively with all employees
  • Excellent time management skills and ability to prioritize work
  • Strong organization skills with ability to multitask to complete a wide variety of tasks
  • Attention to detail to ensure tasks are completed thoroughly and correctly
  • Basic bookkeeping skills
  • Reliability and discretion
  • A “can-do” and “why-not-this” mentality: entrepreneurial, flexible and open
  • Continuous eagerness to learn and develop your personal skills and competences
